Grover ARC Ltd respects the privacy of every insurer/work provider, supplier and policyholder we work with. We are committed to safeguarding any information that you give to us. This statement outlines what information we may collect from you and how we use that information, as well as how you can check what information we have about you. 

1. What information we collect 

We may collect and store information you send to us that is considered sensitive by the General Data Protection Regulation 2018 (GDPR). This information is provided by you and is required in order to undertake repairs and for the administration documents required to complete the repair process for our work providers 

2. How we use your information 

We use the information provided by you to provide the best possible service; we will only use your information in relation to the contract and for the repair work undertaken. The information you provide is confidential and we will never disclose this to any third party without your express permission. 

Insurer/Work Provider Account information held in our database:
 
1) Company name 
2) Company Address 
3) Account Contact name(s)
4) Email, fax and phone numbers for Insurers / Work Providers
5) Email, fax and phone numbers for Accounts Department Contact name 
6) PDF copies and of the Repair Agreement and supporting documents 
7) Your company registration number if applicable 
8) Repair invoices and supporting documents

Policyholder information held in our database:

1) Policyholder name
2) Policyholder address
3) Telephone and mobile phone numbers, and email address if provided
4) Credit/Debit card details for policyholders; these details are provided by the policyholder for excess payments (if applicable) and for policyholders who have use of our courtesy vehicles. This is to ensure that any motor vehicle penalties incurred by the policyholder whilst using our vehicle are investigated and any financial liability established and payment settled. This information is stored securely and for a maximum of 6 months after the repair is undertaken and is shredded afterwards.

Supplier information held in our database:

1) Company name 
2) Company Address 
3) Account Contact name(s)
4) Email, fax and phone numbers for Account contacts 
5) Email, fax and phone numbers for Accounts Department Contact name 
6) PDF copies and of the Supplier Agreement and any relevant supporting documents 
7) Your company registration and VAT number if applicable 
8) Bank account details 

All of the above is required by Grover ARC Ltd to make sure we issue documentation, updates, payments and invoices correctly on your behalf, and will never be disclosed to unauthorised companies or individuals. 

3. Who sees your information 

We may disclose relevant items of your information to our relevant employees, subcontractors or associated companies with a legitimate need as reasonably necessary to provide you with our services. We will never disclose anything other than basic relevant information and we will never sell your information to third parties for marketing purposes. Other than as required by law, or as set out in this privacy statement, we will not disclose information about you to any third party without your permission. 

4. Security 

Grover ARC Ltd will take reasonable technical and organisational precautions to prevent loss, misuse or alteration of the personal information you provide. Of course the transmission of data over the internet is inherently insecure and we cannot guarantee the security of data sent over the internet. 
Grover ARC Ltd will store data and documentation safely and ensure that only those with a legal right or legitimate need to see the information will be permitted to do so. Grover ARC Ltd will reduce the risk of personal data being accessed by unauthorised parties by ensuring the following:
  • Lockable cupboards and office 
  • Software security and updates 
  • Anti – virus protection on systems 
  • Individual secure password protection on systems 
  • Password protection on important files 
  • Ensure that information visible to our staff is granted to appropriate staff only
  • Confirm GDPR compliance with our software providers and external agencies that we collaborate with
